Start with the decision, then the diary

Imagine a visiting investment partner finishing a Hong Kong conference day. The notebook is full. A colleague suggests Shenzhen. The obvious next step is to ask for an itinerary. A better starting point is the decision that an extra day should inform.

Choose your Shenzhen day around the event

Hong Kong FinTech Week x StartmeupHK runs from 2–6 November 2026, with the main conference on 2–3 November at the Hong Kong Convention and Exhibition Centre. The organiser already lists an Immersive Executive Tour in Shenzhen on 4–5 November. Review its agenda, eligibility and inclusions before commissioning a separate programme. Source ↗

Decide whether a private programme adds value

An existing event tour may cover your needs. A private day becomes useful when your team has a specific question, a different pace or a requirement that the published programme does not cover. Compare what is already arranged with what you still need to understand.

Use these questions as starting points, not claims about any particular investor’s needs:

  • PE: Which customer experience, distribution practice or operating workflow could be relevant to a portfolio company, and what would have to change in our own market?
  • VC: What can we observe about product use, customer behaviour and adoption that challenges our thesis? What evidence would we still need afterwards?
  • Family offices: Where could an operating business learn from local products or services, and who in the business would act on those observations?

Plan the journey door to door

For high-speed rail, plan the full journey from your Hong Kong hotel through West Kowloon station to the first Shenzhen meeting. Select a Shenzhen arrival station around the actual meeting address and onward transfer. Check the live timetable and book the return leg around your final commitment.

MTR says West Kowloon departure procedures normally take around 30–45 minutes and passport holders should allow extra time. Real-name checking and ticket verification stop 30 minutes before departure. Use the same identification document used to purchase the ticket; both Hong Kong and Mainland immigration formalities take place at West Kowloon. Source ↗

Build in time for the station, local transfers and a meeting that runs late. A short train ride does not make the day a short door-to-door trip. Avoid placing an essential Hong Kong dinner immediately after a tightly timed return.

Complete the readiness check before booking

Check the current Mainland entry rules for each traveller’s nationality, document, purpose and itinerary with the National Immigration Administration and the relevant Chinese embassy or consulate. Keep this practical checklist with the itinerary:

  • Documents: valid travel document, applicable entry permission and ticket details that match the document you will carry.
  • Coordination: meeting addresses in Chinese and English, local contact details, an agreed meeting point and a return plan.
  • Phone and payments: check your own roaming or data arrangement, charge your devices and confirm accepted payment methods with providers.
  • Hosts: confirm the date, participants, conversation topic, language support and any photography or confidentiality conditions.
  • Contingency: agree what replaces a host meeting if availability changes; retain buffers rather than adding extra stops.

Keep the working day focused

An illustrative day might follow this sequence. Actual timing depends on the route, host approval and agreed scope; this is not a bookable itinerary.

  • Arrival and briefing: restate the business question, the team’s assumptions and what would change your view.
  • First observation: explore a relevant product or customer experience in a public setting, subject to local access and opening hours.
  • Lunch and comparison: separate what you observed from what someone told you and what you inferred.
  • Focused conversation: meet an agreed host if confirmed. Keep the discussion connected to your brief rather than a general company presentation.
  • Debrief and return: record unresolved questions, assign follow-up research and leave enough time for the booked journey.

Send a brief someone can work with

Before asking for a proposal, complete this sentence: “We want to understand ___ because our team is considering ___.” Then add your dates, party size, roles, existing arrangements, preferred language, the organisation commissioning the work and who approves the fee.
