The strongest company visit begins with a question that a host can legitimately help answer. A list of famous names may be useful for orientation, but it is not yet a programme—and it gives the prospective host very little reason to say yes.
Start with the decision waiting at home
Before discussing companies, identify the decision, investment thesis, product question or cultural shift the visitor is trying to understand. “We want to see robotics” is broad. “We are evaluating where humanoid robotics has crossed from demonstration into repeatable industrial deployment” gives a host something serious to respond to.
The visitor profile matters just as much. A concise explanation of the guest’s role, relevant experience and intended use of the conversation helps a company assess fit without receiving an inflated biography or a premature promise of commercial opportunity.

Treat approval as part of the programme—not a formality

Three to four weeks is the minimum preferred window for a single request. Eight to sixteen weeks is more realistic for a delegation, multiple conversations, senior participants or a programme requiring protocol, interpretation and coordinated transport. More lead time does not guarantee approval; it simply makes a considered request possible.
Design the city around the conversation
A company meeting becomes more useful when the rest of the day gives it context. A retail flagship can reveal product hierarchy and consumer choreography.
